  • Allocation Coordinator

    Job Category: Warehouse

    Location: Leamington, ON

    We are currently seeking an applicant to join our team and fill a full-time Allocation Coordinator position at our farm in Leamington, ON.

    Job Details

    The Allocation Coordinator allocates product as per production and shipping schedule requirements at the Farm to enable maximum productivity in all areas.  They view order requirements and review items and quantities in stock to determine rework or build requirements.  They work closely with the Warehouse Manager to inform them of the status of the production plan and any pending issues or areas of concern.

    Job Responsibilities include, but are not limited to:

    • Allocating product (by tag number) based on FIFO, quality specification, and allowable size.
    • Monitoring Sales Order emails for all sales that are received and following up with team members to ensure nothing is missed. (i.e. production supervisors, shipping, and commodity departments).
    • Collaborate with other Nature Fresh locations for transfers contingent of inventory levels and production needs.
    • Reviewing the production plan; ensuring all orders are covered and adjusting items as required to fulfill orders.
    • Inventory Management – Running daily reports on aged inventory ensuring FIFO is being met, and part pallets are being consumed.

    Job Requirements

    • Minimum of 1-2 years’ experience in an administrative or coordinator role is an asset.
    • Strong working knowledge of Office 365. Experience with NAV is an asset.
    • Ability to work easily with numbers and read/update operational reports.
    • Must be a critical thinker with the ability to multitask and prioritize urgent tasks. Works well under pressure.
    • Ability to communicate, gather and share information with different individuals, teams, and management across our facilities.
    • Must be self-motivated, have good organizational skills and be detail oriented.
    • Must be available to work Monday-Saturday, hours will fluctuate according to the needs of the business.

    Workplace Conditions

    • Fast paced warehouse environment where temperatures vary from cooler to temperature-controlled areas.
    • Balance between sitting, standing, and walking throughout the warehouse. Some travel between phases may be required.
    • Working with minimal supervision during the day.

    Job Details

    The HR Priva Administrator is responsible for administrative and data entry work within our HR labour department.  They will be actively involved throughout the greenhouses performing a variety of detailed administrative tasks related to our labour and attendance programs.

    Job duties include, but are not limited to:

    Provides expertise and leadership in corporate Health, Safety & Wellness considerations, including claims management related to workplace injury for the entire organization.

    • Priva Labour Program
      • Reviewing employee work and productivity data inputs every day to ensure information is correct.
      • Ensuring work activities, locations, containers etc. with Priva are entered correctly. Following up with managers and supervisors to confirm any discrepancies and correcting as agreed.
      • Processing activity reports for managers/supervisors on a daily/weekly basis.
      • Overseeing work activities on a weekly basis and ensuring they are appropriate/accurate for the season.
      • Ensuring activity tag boards are up to date.
      • Programming new job/row tags and replacing broken tags ASAP if needed.
      • Assisting with the inventory of stock and supplies of readers and tags.
      • Assisting with program setup and maintenance.
      • Working with supervisors on QC reports weekly.
      • Training and/or assisting supervisors with proper use of the software and how to review data.
    • Supporting the HR team with a variety of general duties and company events as required.

    Job Requirements:

    • 1+ years administrative experience is preferred.
    • Must have strong computer skills, Microsoft Excel & Microsoft Word experience required.
    • Experience with Priva FS Performance computer software is a definite asset.
    • High degree of discretion/confidentiality regarding employee and company-related matters is required.
    • Excellent communication skills, both verbal and written and comfort working with management.
    • Attention to detail, time management and a high sense of urgency to ensure deadlines are met.
    • Ability to use judgement to evaluate information and make good decisions.
    • Ability to work both independently and as a collaborative team member.
    • Ability to speak and write in Spanish is an asset.
    • Must be available Monday-Saturday; hours will fluctuate according to ongoing needs of the business.

    • Prepares reports by collecting and analyzing information.
    • Identify different types of data that need tracking to improve business performance. Generate easy-to-interpret reports based on collected data.
    • Work with the management team to prioritize improvements within the Sales Department using analytical data collected data.

    JOB REQUIREMENTS

    • Updating collateral and assets with new material or modified layouts. Managing projects from concept development through to execution by coordinating with the appropriate team members to secure proper assets and meet task deadlines.

    JOB REQUIREMENTS:

    • A college diploma or University degree in Marketing, Design, or photography.

    JOB DETAILS:

    As part of the Distribution Center team, the Warehouse Janitor is responsible for ensuring that our facilities are cleaned and tidied regularly.  Food safety is of top concern at our operation, and to meet food safety and quality standards, proper cleanliness and sanitation are essential.

    JOB RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

    • Responsible for maintaining the appearance of the interior and exterior areas of the Distribution Center:
      • Keeping building and grounds neat, clean, free from clutter/garbage/debris/weather and safe from hazards.
      • Cleaning interior and exterior windows.
      • Maintaining cleanliness of parking lots, walkways, entrances/exits, etc.
      • Emptying garbage, recycle bins and any other trash/garbage materials.
      • Dusting, disinfecting, or cleaning various surfaces such as railings, lights, doors, walls, racks, equipment, ceiling rafters, etc.
      • Sweeping, mopping, and vacuuming hallways, stairs, offices, etc.
      • Clean and sanitize all break/lunchrooms.
      • Clean and sanitize all washrooms and locker rooms.
    • Thoroughly clean all floors using Zamboni and maintain cleanliness of all floors throughout the shift including spills, debris from pallets/produce, damaged product, etc.
    • Assist in set up of decorations, tables, chairs, and clean up, to prepare for Company events such as parties and meetings, etc.
    • Operate machinery to perform janitorial duties such as Zamboni, forklift, power washer, etc.
    • Act as coverage for Office Janitorial.
    • Report any maintenance/housekeeping repairs or safety concerns to the Assistant Warehouse Manager.
    • Monitor janitorial supplies and inform DC Coordinator if in need of restock or missing items.
    • Follow and complete daily, weekly, monthly, and quarterly cleaning schedules and checklists and submit to Assistant Warehouse Manager.
    • Keep janitorial closets and equipment rooms clean, organized, and stocked.
    • Carry out heavy cleaning tasks and special projects as assigned by Warehouse Manager.
    • Follow OHSA guidelines for handling chemicals and use of proper protective equipment as required for daily duties.
    • Other duties as assigned.

    Job Requirements:

    • Previous janitorial /cleaning experience preferred.
    • Minimum 1 year of forklift experience.
    • Ability to use cleaning chemicals and janitorial equipment/machinery safely and correctly.
    • Ability to work safely in a fast-paced warehouse.
    • Safety shoes are required.
    • Must be able to lift up to 50lbs.
    • Ability to carry out work efficiently with minimal supervision.
    • Positive attitude and ability to work well with others.

Reporting directly to the Corporate Human Resources Director, the Human Resources Manager develops and implements human resource strategies and supports the goals and objectives of the organization by effectively managing and administering HR policies and programs in accordance with company policy and appropriate legislation.

    Primary Responsibilities

    • Ensures that all employment practices are in compliance with local, state, and federal legislation
    • Coaches other managers within the organization in affective managerial practices, legal considerations, and employee relations
    • Maintaining compliance with regulatory agencies
    • Maintain positive employee relations and resolve complex issues through proper investigation and mediation with Managers and employees
    • Acts as a resource to employees to handle questions, concerns, or suggestions
    • Responsible for administrative duties in the following HR processes: full-cycle recruitment, new hire onboarding, benefits administration, performance management, and voluntary and involuntary termination
    • Responsible for new hire processing components such as managing pre-employment screening, I-9 documentation, and other relevant paperwork, and entering and updating employee information for payroll system.
    • Responsible for benefits administration, which includes tasks such as conducting benefits meetings, assisting with open enrollment, and tracking FMLA leave
    • Serve as the primary point of contact for supervisor submissions of injury/incident reports
    • Workers’ compensation claims reporting including light duty referrals and updating OSHA logs
    • Responsible for other administrative functions in the HR department to include employment verifications, updating internal databases and spreadsheets, audits, and preparation and update of weekly recruitment reports
    • Provide day-to-day performance management guidance to line management (e.g., coaching, counseling, career development, disciplinary actions)
    • Explaining human resources policies, procedures, laws, and standards to new and existing employees.
    • Completes payroll reports.
    • Monitors and corrects employees’ times and attendance in Priva.
    • Creating job descriptions for all positions with the company.
    • Conducting performance evaluations with management.

    Qualifications

    • Bachelor’s degree in Business, Human Resources or related field
    • 5 - 7 years of Human Resources experience
    • Leadership, development, treating others with courtesy, sensitivity, and respect
    • Detail-oriented and highly organized
    • Flexibility to change with new information and adapt to changing conditions and obstacles

  • Junior Controller

    Job Category: Farm

    Location: Leamington, ON

    Ketler Farms is a new collaborative venture with Nature Fresh Farms and is part of the Nature Fresh group of companies. It is planned to be a 30-acre state-of-the art greenhouse facility located on Mersea Rd 11 in Staples ON. We are currently seeking a dynamic Junior Controller to assist in our planning stages.

    Job Overview

    As a Junior Controller, you will be trained on all financial functions of a greenhouse operation under the guidance of the Nature Fresh Farms Controller. You will spend a required amount of time performing the functions of AP, AR, Payroll, Financial Analysis, Treasury, and Full Cycle Month End close, working closely with Nature Fresh Farms staff. In addition, you will spend time with Operations staff to ensure a full understanding of the business. Once your training is complete, you will transition over to Ketler Farms and in your role of Junior Controller.

    Job Responsibilities include, but are not limited to:

    • Financial Reporting: Oversee the month-end close process and compiling consolidated financial statements. Research technical accounting issues and play a key role in establishing company-wide accounting policies. Creating and maintaining a recurring budget to actual reporting for each department, credit card or vendor reconciliations, and final review of expense reports.
    • Financial Accounting: Manage the day-to-day financial operations including but not limited to, Accounts Payable, Accounts Receivable, Budgeting, Payroll, ad-hoc reporting requests from leaders,
    • Payroll: completes payroll bi-weekly, issues ROES as needed, Creates and prepares T4s, Collaborates with HR to ensure payroll deductions and activities are compliant.
    • Audit: Assist in annual audit and tax compliance work. Work with auditors to prepare requested schedules and corresponding analysis, help to draft financial statements, create schedules to support requests from our professional audit or tax teams for filings, and respond to requests from tax filing authorities globally.
    • Treasury: Assist in creating & maintaining a rolling weekly cash forecast. Manage the day-to-day cash flow of the Company to ensure vendors are paid and all receivables are collected on a timely basis.
    • Process Improvements: Assist in developing, documenting, and implementing internal controls. Assist in identifying inefficiencies and revamping processes.
    • Budgeting: Gather relevant information & complete for management review.
    • Oversee all activities related to provincial and federal tax compliance issues.

    Job Requirements:

    • Accounting: 5-10 years preferred
    • Demonstrated experience revamping processes, with an eye for improving efficiency.
    • An excellent communicator and able to convey complex ideas concisely.
    • Flexible – able to adapt to changing business requirements in a growing company.
    • Organized with extreme attention to detail.
    • Must be credible, reliable and have a great ethical character
    • Fluent in Microsoft Office: Word, Excel, Outlook, and PowerPoint.
    • CPA, CA designation or equivalent experience an asset

     WORKING CONDITIONS

    • Works primarily in an office setting – sitting, standing, walking.
    • Works both independently and with a team.
    • Some travel required – must possess a valid driver’s licence and access to own vehicle.
    • Flexibility in hours of work is required although standard work hours are Monday – Friday.

    Compensation – Based on experience
