  • Payroll Specialist

    Location: Leamington, ON

    We are currently seeking an applicant to join our team and fill a full-time position as a Payroll Specialist for our Farm in Leamington, ON.

    Job Details

    We are looking for a strong team player who is detailed oriented that thrives in an environment which encourages innovation and results. This exciting payroll position drives the bi-weekly payroll process, year end, and compliance with Canadian payroll regulations. You will perform tasks related to analysis, execution of payroll processing while maintaining the utmost confidentiality in dealing with employee records and business information. You will be accountable to ensure the timely delivery of payroll, foster strong collaborative relationships with Human Resources & Finance, and ensure compliance with all relevant federal/provincial regulations and taxable benefits, while continually monitoring for business process improvements.

    Job Responsibilities include, but not limited to:

    • Ensure all required information is in place to process all payrolls (3) accurately and efficiently.
    • Process bi-weekly payroll and, pay increases, bonuses, taxes and deductions for all salaried and hourly employees in the organization.
    • Processing terminations, ROE’s, and T4’s.
    • Manage the ADP payroll system including the testing and implementation of changes.
    • Prepare, calculate, and reconcile all payroll taxes, WSIB, EHT, RRSP remittances.
    • Work with Health & Safety team to monitor WSIB claims and statements
    • Check payroll information for accuracy and ensure all relevant paperwork is in order.
    • Ensure all payroll transactions are in accordance with company policies & procedures, and are in compliance with audit and governance requirements for each applicable Province/State and Federal agency.
    • Prepare reports as requested by Human Resources and Finance as needed.
    • Participate on special project teams as required and be an integral part of the project team for payroll/system projects.
    • Ensure the accurate processing of staff transfers, promotions, and terminations, and maintain all dispersed company paperwork in the applicable systems
    • Investigate payroll related questions to provide accurate and timely resolutions.
    • Act as liaison with all government agencies and external auditors.
    • Responsible for managing payroll deduction processing for benefits.
    • Bonus & compensation increases, entries, and accrual management.

    Job Requirements:

    • Minimum 5 years of progressive Payroll/Accounting experience for large organizations using ADP.
    • Sound fundamental knowledge of payroll policies, practices, and procedures
    • Familiarity with and ability to interpret and apply employment legislation to payroll.
    • Demonstrates a high level of customer service, integrity, trust, and composure.
    • Certified Payroll Manager (CPM) or Payroll Compliance Practitioner (PCP) designation preferred.
    • Adherence to the highest standards of ethical practice in retaining individual privacy.

    Job Details

    Yard Maintenance is vital for a farm to prevent pest habitation and to maintain surrounding areas for a professional appearance. Yard Maintenance staff are responsible for the care and landscaping of grounds surrounding Nature Fresh Farms.

    Job Responsibilities include, but not limited to:

    • Lawn care and maintenance of the grounds around each phase, including trimming and edging around walks, flower beds, and walls. Other duties include shovelling and salting.
    • Ditch maintenance and lawn care
    • Cleaning loading gutters and drains
    • Repairing driveways
    • Clearing litter
    • Basic maintenance on equipment
    • Assisting with other maintenance issues around the farm when needed
    • Operate necessary equipment to maintain landscaped areas such as lawnmowers, chainsaws, trimmers, and leaf blowers.
    • Complying with safety regulations and maintain clean and orderly work areas.
    • Advising the manager of any repairs needed or supplies that need to be replaced or ordered.
    • Borrowing and returning tools/supplies from the Tool Crib as needed.

    Job Requirements:

    • Must be able to perform physical labour daily
    • Ability to frequently lift 30lbs
    • Ability to operate and/or maintain various light equipment and tools is a definite asset
    • Good communications skills
    • Ability to work in a team environment
    • Must de dependable and punctual

  • Allocation Coordinator

    We are currently seeking an applicant to join our team and fill a full-time Allocation Coordinator position at our farm in Leamington, ON.

    Job Details

    The Allocation Administrator is responsible to ensure commodities are allocated as per sales, production and shipping schedules. They view sales order requirements, inventory volumes, and harvest projections to build daily production plans. This position works closely with the Warehouse Manager, production Supervisors and Shipping team to communicate production plan adjustments and any issues or areas of concern. In addition, this position also supports the warehouse team by being responsible for creating/printing all product and pallet labels required for finished products. Ensuring commodity specification sheets are followed, and effectively communicating with supervisors to ensure label quantities match sales orders.

    Job Responsibilities include, but are not limited to:

    • Allocating product (by tag number) based on FIFO, quality specification, and allowable size.
    • Monitoring Sales Order emails for all sales that are received and following up with team members to ensure nothing is missed. (i.e. production supervisors, shipping, and commodity departments).
    • Collaborate with other Nature Fresh locations for transfers contingent of inventory levels and production needs.
    • Reviewing the production plan; ensuring all orders are covered and adjusting items as required to fulfill orders.
    • Inventory Management – Running daily reports on aged inventory ensuring FIFO is being met, and part pallets are being consumed.

    Job Requirements

    • Minimum of 1-2 years’ experience in an administrative or coordinator role is an asset.
    • Strong working knowledge of Office 365. Experience with NAV is an asset.
    • Ability to work easily with numbers and read/update operational reports.
    • Must be a critical thinker with the ability to multitask and prioritize urgent tasks. Works well under pressure.
    • Ability to communicate, gather and share information with different individuals, teams, and management across our facilities.
    • Must be self-motivated, have good organizational skills and be detail oriented.
    • Must be available to work Monday-Saturday, hours will fluctuate according to the needs of the business.

  • Junior Controller

    Ketler Farms is a new collaborative venture with Nature Fresh Farms and is part of the Nature Fresh group of companies. It is planned to be a 30-acre state-of-the art greenhouse facility located in Mersea Road 11, Staples, ON. We are currently seeking a dynamic Junior Controller to assist in our planning stages.

    Job Overview

    As a Junior Controller, you will be trained on all financial functions of a greenhouse operation under the guidance of the Nature Fresh Farms Controller. You will spend a required amount of time performing the functions of AP, AR, Payroll, Financial Analysis, Treasury, and Full Cycle Month End close, working closely with Nature Fresh Farms staff. In addition, you will spend time with Operations staff to ensure a full understanding of the business. Once your training is complete, you will transition over to Ketler Farms and in your role of Junior Controller.

    Job Responsibilities include, but are not limited to:

    • Financial Reporting: Oversee the month-end close process and compiling consolidated financial statements. Research technical accounting issues and play a key role in establishing company-wide accounting policies. Creating and maintaining a recurring budget to actual reporting for each department, credit card or vendor reconciliations, and final review of expense reports.
    • Financial Accounting: Manage the day-to-day financial operations including but not limited to, Accounts Payable, Accounts Receivable, Budgeting, Payroll, ad-hoc reporting requests from leaders,
    • Payroll: completes payroll bi-weekly, issues ROES as needed, creates and prepares T4s, collaborates with HR to ensure payroll deductions and activities are compliant.
    • Audit: Assist in annual audit and tax compliance work. Work with auditors to prepare requested schedules and corresponding analysis, help to draft financial statements, create schedules to support requests from our professional audit or tax teams for filings, and respond to requests from tax filing authorities globally.
    • Treasury: Assist in creating & maintaining a rolling weekly cash forecast. Manage the day-to-day cash flow of the Company to ensure vendors are paid and all receivables are collected on a timely basis.
    • Process Improvements: Assist in developing, documenting, and implementing internal controls. Assist in identifying inefficiencies and revamping processes.
    • Budgeting: Gather relevant information & complete for management review.
    • Oversee all activities related to provincial and federal tax compliance issues.

    Job Requirements:

    • Progressive Accounting Experience: 5-7 years preferred
    • Agriculture industry experience is considered an asset
    • Excellent verbal and written communication skills: ability to develop and maintain relationships of trust & ability to convey complex ideas concisely to all levels of the organization
    • Flexible – able to adapt to changing business requirements in a growing company
    • Organized with extreme attention to detail
    • Must be credible, reliable and have a great ethical character
    • Proficient with Microsoft Office 365 (Excel, Outlook, PowerPoint, word) – Knowledge of Power BI an asset
    • Demonstrated experience revamping processes, with an eye for improving efficiency
    • CPA designation or equivalent experience an asset

     Working Conditions:

    • Works primarily in an office setting – sitting, standing, walking.

    • Some travel required – must possess a valid driver’s licence and access to own vehicle.

    Job responsibilities include but are not limited to:

    • Filling out and inputting temperature recorder information in NAV, Sensitech and Emerson Oversight.
    • Recording and sending daily/weekly inventory templates, office supplies and seals through email.
    • Input chep counts in mychep.com and emailing chep counts daily.
    • Printing and making load confirmations/load sheets and making sure information is accurate.
    • Filling out and attaching permits, certificates, and inspection paperwork accurately.
    • Answering phones and attending to drivers/and or anybody at window.
    • Assigning bay doors appropriately and accurately for truck drivers.
    • Send late truck notices through Microsoft Teams to inform the logistics department.
    • Record check-in times, start times, and check-out times of trucks in Smartsheets or TMS system.
    • Report truck arrivals/departures to the logistics department, supervisors, and other clerks through TMS to ensure an even workflow.
    • Handing out load sheets with accurate information for Shippers/Receivers to load trucks.
    • Assisting drivers with any problem they may have – handle situations accordingly and appropriately.
    • Data entry in Block Chain, Smartsheets and other systems.
    • Assisting with printing tags and orders to separate and count pallets.
    • Monitoring emails for revisions to sales orders.
    • Verifying and entering the correct information into NAV for completed orders. Verifying that quality is complete on orders, printing the BOL’s.
    • Assist with handing out orders evenly to shippers and printing pallet markers.
    • Other duties as assigned.

    Job Requirements:

    • Ability to work with minimal supervision in a team environment, some independent work.

    Job Requirements

    • Educational background in Computer Science/Engineering or Information Technology preferred.
    • Hands on experience with software implementation and/or strong proficiency in working with computers and software programs are preferred.

  • Trials Development Manager

    We are currently seeking an applicant to join our team and fill a full-time Trials Development Manager position at our farm in Leamington, ON.  This is a 12 month contract position.

    Job Details

    The Trial Development Manager oversees all aspects of ordering the trial seeds to observations and reporting.  They assist with recognizing and assessing potentially viable new varieties. the different. The Trial Developer has a good understanding of what would be beneficial to plant the following year in the crop and can forecast accordingly.

    Job Responsibilities include, but are not limited to:

    • Develops and manages relationships with seed companies and seeks new opportunities
    • Sends data/observations to the seed companies
    • Obtains quotes and manages ordering and receiving of the seeds. When inputting orders, the Trial Developer also generates their own purchase order number rather than contacting Purchasing.  Liaises with Purchasing to order supplies.
    • Conducts tests of the trials. Tests include shelf-life testing, sugar/acid testing and general production.  During and after the testing, reports are created and sent to the seed companies
    • Arranges seeds for propagation
    • Arranges test panels and creates reports with the observation
    • Stays in contact with Sales/Marketing regarding any potentially viable new varieties.
    • Orders seeds for the Ohio location.
    • Business trips are required to visit with different seed companies. Potentially trips to Europe, the U.S and Canada.
    • Manages the R&D team
    • Actively involved in employee hands on training and follow-up to ensure all work is done efficiently and correctly. Training and development is required on an on-going basis
    • Motivates and encourages workers and communicates with them as necessary
    • Plans, delegates and leads the team well to improve performance and quality
    • Completes compulsory paperwork according to policies set out by Nature Fresh
    • Works closely with our other R&D facilities and trial centres.

    Job Requirements

    • 3-5 years in a similar role is considered an asset
    • Excellent relationship and customer service skills
    • Effective communication and listening skills are essential
    • Proven leadership and development skills
    • Organization and effective scheduling experience
    • Attention to detail
    • Commitment to continuous learning
    • Makes well-informed, effective and timely decisions
    • Flexibility to change with new information and adapt to changing conditions and obstacles
    • Very high degree of confidentiality and integrity required regarding all aspects of the business.
    • Computer literate, especially with Excel.
    • Work independently but also part of a team
    • A valid drivers license and use of a personal vehicle are required
    • A valid passport and ability to travel locally and internationally are required.

    Workplace Conditions

    • The Trial Developer is expected to report to work from Monday-Saturday – flexibility may be required.
    • High degree of confidentiality in regard to employee and job-related matters
    • Travel is a requirement of this position
    • Compensation – Based on experience.

    Physical Requirements

    • Walking, sitting, and standing throughout the day.

    Salary – Based on experience.
